A demonstration of structured intent routing, allowing a property management team to handle maintenance, business queries, and emergencies from a single line.
The Challenge
Property management operators often have a single inbound line acting as a small contact center. Tenants calling about maintenance, vendors calling about business, applicants calling about jobs, and the occasional emergency—all hitting the same number and overloading the same staff.
What Was Designed
Adaaapt designs voice systems with structured intent routing on the front end and structured intake on the back end. The agent identifies the caller’s need on the first turn and commits to one of five designated paths.
How It Works
For maintenance, the agent runs a conversational intake form, ensuring the technician receives location, unit number, issue severity, and access notes before dispatching. For business or employment, the call is routed to ops or HR. For emergencies, the agent skips all qualifying questions and executes a direct live transfer immediately.
The Results
A single inbound number becomes capable of handling five distinct jobs without a human picking up first. Technicians arrive prepared, administrative staff stop acting as routers, and emergencies are handled instantly without menu friction.
Lessons Learned
It is critical to scope maintenance-intake quality tracking upfront. The success of the build relies entirely on whether technicians actually arrive with the right information, making backend instrumentation just as important as the voice model.
